Terms & Conditions
Please read below the Terms and Conditions which make a legal base for providing our service.
Astronomical Institute of the Czech Academy of Sciences (Astronomický ústav AV ČR, v. v. i.; VAT no. CZ67985815; hereafter: Organiser) provides an organization of a scientific conferences for registered participant (hereafter: Event). Attendance at these Events require a prior payment that covers costs associated with the event venue. The following conditions apply for the Service:
- A contract is concluded between the Organiser and a person that is registering to attend the Event (hereafter: Participant).
- The contract between the Organizer and the Participant enters into force on voluntary registration of the Participant on the website of the Event and acceptance of the General Terms and Conditions during the registration. The contract is considered as an electronic written contract. The website sends a confirmation from the registration to the Participant. The confirmation is recorded and stored in the website system. Language of the contract is English for all Participants.
- The Organizer delivers a service to Participants that includes an access to the event venue, a use of the technical support on site, catering at the Event venue, a registration package, and an optional culture programme. The service also includes an optional event dinner for the Participant and their accompanying persons (hereafter: Service).
- Participants pay a registration fee to take part in the congress, unless the fee is waived by the Organizer. The registration fee is posted on the congress website. Registration fee covers the cost of the Service, except the cost of the event dinner that is not part of the event fee itself and it is paid extra based on individual interest. All other costs, including international and local transportation, as well as accommodation, catering outside the event venue and other personal expenses, should be covered by Participants on their own.
- The Organizer may use subcontractors for delivering the Service or its parts. The Service may be inclusive of mediated services.
- The deadlines of the registration and of the event fee payments are provided on the event website. The registration is considered to be valid, and this contract inures only after the successful payment of the registration fee. Participants should pay the registration fee using an online payment service ot transfer the registration fee to the bank account given on the Event website. Participants receive an electronic advance payment bill from the inpayment and a receipt of payment . After the Event and on Participant's request, the Organizer will make out an electronic final bill from the Event, which may include mediated services. Online registrations and inpayments after 9th of September 2022 are considered to be delayed, the registration is rejected and registration fee will be transferred back.
- The Organizer takes responsibility for the organization of the Event, to provide the circumstances and services in time and conduct the event.
- The Organizer does not take financial responsibility for any stoppage, missing service, program canceling or other operational problems caused by insufficient fulfillment of a third party, including venue rental, technical or board problems.
- The Organizer does not take responsibility for any accidents, personal injuries, illnesses, food allergy diseasednesses or any other medical problems during the Event. We strongly recommend to effect an insurance covering medical treatment costs. The Organizer also does not provide any financial compensation for medical or financial injuries, or any organization or management problems occurring during the contest caused by Participant or an external party.
- The Organizer does not take responsibility for any personal properties and goods at the congress venue. Participants must take care of their own goods. We recommend to effect an insurance covering properties and goods.
- Participants are entitled to cancel or terminate the contract freely any time before the start of the event. The total event attendance fee payment will be refunded if cancelation comes before the Early Bird Payments deadline (Aug 7). From August 8 on, the refund will be 50% of the event attendance fee payment and 100% of the event dinner payment. In less than 14 days before the event cancellations cannot be refunded.
- Notice of cancellation (e.g. in case of sickness, lack of funding or any other personal reasons) must be made in writing by email to the Event contact email address (info@texas2021.org). The notification must include all relevant information regarding the bank account to which a possible refund may be remitted (incl. IBAN and BIC). The cancellation will not be effective until a written acknowledgement from the respective event secretary is received. The date of the email receipt date will be the basis for considering refunds. Refunds will be made after the Event has ended.
- In the case of excess-payment or double payment, refund requests must be made in writing and sent to the Event contact email address (info@texas2021.org).
- No refunds will be granted in case of cancellation of speakers, lack of space in the event venue or any other incidents during the event which are beyond the control of the Organizer. By registering to the Event participants agree that neither the organizing committee nor the Event assume any liability whatsoever.
- For payments received by credit or debit cards, the same credit/debit card will be refunded. For all other payments, a bank transfer will be made to the payee nominated account and all bank charges will be for the registrants account.
- In case the Event cannot be held or is postponed due to situation(s) beyond the control of the Organizer or due to events which are not attributable to wrongful intent or gross negligence of the Organizer (vis major), the Organizer will refund 100% of registration fee but cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, flight booking cancellation charges, accommodation costs, financial losses, etc. If, however, the Event is canceled or postponed due to vis major less than 15 days before the its scheduled start, no refunds are possible.
- The contract concluded between the Organizer and the Participant as per the above comes into being for a definite period of time, up to the point of delivering the Service (i.e. until the end of the Event). Contracting parties may amend the contract by mutual consent in writing (e-mail and its confirmation) at any time.
- The Organizer may terminate the contract if the Participant does not honor their contractual obligations even after notice and setting of the deadlines or if they seriously breach an important condition of the contract.
- Matters not regulated in the Contract shall be governed by Czech law, primarily by the Civil Code and other Czech legal regulations in effect.
